Client Onboarding & Paperwork Workflow Automation

Know what’s holding up the start.

Tier9AI can connect intake information to an existing project checklist or build a scoped readiness view. The demo separates received documents from reviewed documents and removes readiness when a prerequisite is reopened.

For small service teams / Fictional example

Start work without chasing paperwork.

The client signed, but the documents your team needs are scattered across email.

What you get

One checklist showing what’s missing and whether work can start.

A small design agencyJamie · project coordinatorTuesday, 10:00 AM · fictional workday

A client has signed, but the sample assets still need checking and start approval is missing. A received file is not automatically an approved file.

The smallest useful build

One completed intake form → one checklist record in your project tool.

File review states, reminder drafts, multiple sources and a tailored readiness dashboard require additional agreed scope.

How we prove it works

  • Received and reviewed are different states
  • Missing items keep the project on hold
  • Reopening an item removes readiness immediately

Measure: Days waiting for prerequisites; coordinator time spent finding missing items. No automatic project launch.

Is this worth fixing? Estimate the manual effort.

7.2 hours / month
Illustrative current effort, not promised savings. Uses 4.33 weeks/month. Review and exception handling will still take time.

Every project receives a written quote after compatibility and scope review. A single handoff between existing tools is a smaller starting point than a complete demo interface. Custom interfaces, AI and multi-step workflows must be explicitly included in the quote. Software fees are separate.

Check attachments → ask the team → chase the client → check again.

With the workflow

See missing items in one place. Prepare one clear request.

Built around your tools

Your agreed checklist → missing-item summary → client reminder for review → readiness summary once prerequisites are confirmed.

These examples are rule-based, not live AI. A real build needs agreed permissions, integration checks, failure handling and acceptance testing. We configure existing software where that solves the problem; we build only the missing pieces.

Build this around my tools ↗
Based on real operating patterns—not invented customer results

Jobber’s published Earth Love Cleaning story describes a real cleaning company using quote follow-ups. Jobber also supports quote approvals and change requests; HoneyBook documents onboarding triggers and tasks. These tools already solve parts of the problem. Tier9AI’s role is to configure what fits and build missing handoffs where needed.

These are independent references, not Tier9AI clients, endorsements or tested integrations. All businesses and records inside the interactive examples are fictional. Research reviewed September 25, 2026.

Fictional examples, not customer results or promises of revenue. No external connections or persistent storage. Refreshing resets the demos. Final scope depends on your tools and requirements.

Before you build.

Who is this for?

Small agencies and service teams collecting project briefs, sample files and approvals before work begins.

Do I need new software?

Use your project tool’s forms, checklists and native automations when they cover the process. Add a connection only when information is stranded in another approved tool.

What does it cost?

One completed form creating one checklist record can be quoted as a focused first step after compatibility review. File-review states, reminders and a custom dashboard are separately scoped.

Your written quote defines deliverables, timing, revisions and payment milestones before you commit. Software fees and ongoing support are separate. A call is optional.

Is this connected to real accounts?

No. This is a rule-based, fictional simulation. No emails are sent, no files are uploaded and no customer tools are connected. Production work requires agreed access, testing and owner approval.
