Estimate Follow-Up Automation for Small Service Teams

Follow up on the right estimates.

Tier9AI can help configure existing quote reminders or scope a missing connection between quote records and customer status. The demo builds a review queue using an age rule and stops reminders when a customer replies, accepts, declines or opts out.

Know which estimates need chasing.

You sent the estimate. A week later, you’re not sure whether anyone followed up.

What you get

A short list of overdue estimates and a follow-up you can approve.

An exterior-cleaning teamJamie · owner / estimatorFriday, 8:30 AM · fictional workday

Before heading out to jobs, review unanswered quotes. A customer who replied or declined must leave the reminder queue—even when their quote is old.

The smallest useful build

First check your quoting tool’s built-in reminder settings. If those cover the need, configure them instead of building another system.

A cross-tool status check, review queue or reporting screen needs a scoped integration or reporting build. Access and API support must be checked first.

How we prove it works

  • Only eligible quotes enter the queue
  • Replies, declines and opt-outs stop follow-up
  • Repeated approval does not create duplicate outreach

Measure: Eligible quotes with no next action; time spent preparing the weekly follow-up list. Quote value is not recovered revenue.

Is this worth fixing? Estimate the manual effort.

7.2 hours / month
Illustrative current effort, not promised savings. Uses 4.33 weeks/month. Review and exception handling will still take time.

Every project receives a written quote after compatibility and scope review. A single handoff between existing tools is a smaller starting point than a complete demo interface. Custom interfaces, AI and multi-step workflows must be explicitly included in the quote. Software fees are separate.

See how it works

Before

Search sent emails → check dates → rebuild a list → write each reminder.

With the workflow

See what is overdue, review a reminder, and keep an activity record.

Built around your tools

Your estimate records → agreed age rule → review queue → approved follow-up. Existing reminders are checked to avoid duplicate outreach.

These examples are rule-based, not live AI. A real build needs agreed permissions, integration checks, failure handling and acceptance testing. We configure existing software where that solves the problem; we build only the missing pieces.

Based on real operating patterns—not invented customer results

Jobber’s published Earth Love Cleaning story describes a real cleaning company using quote follow-ups. Jobber also supports quote approvals and change requests; HoneyBook documents onboarding triggers and tasks. These tools already solve parts of the problem. Tier9AI’s role is to configure what fits and build missing handoffs where needed.

These are independent references, not Tier9AI clients, endorsements or tested integrations. All businesses and records inside the interactive examples are fictional. Research reviewed September 25, 2026.

Fictional examples, not customer results or promises of revenue. No external connections or persistent storage. Refreshing resets the demos. Final scope depends on your tools and requirements.

Before you build.

Who is this for?

Cleaning, maintenance and other service teams that send estimates and manually track the next follow-up.

Do I need new software?

Check your quoting software’s reminder and approval features first. Do not add a second reminder system if the existing one meets the requirement.

What does it cost?

Cross-tool reply checks, a tailored review queue and reporting require a written scope. Pricing depends on the systems involved, status rules and interface requirements.

Your written quote defines deliverables, timing, revisions and payment milestones before you commit. Software fees and ongoing support are separate. A call is optional.

Is this connected to real accounts?

No. This is a rule-based, fictional simulation. No emails are sent, no files are uploaded and no customer tools are connected. Production work requires agreed access, testing and owner approval.
