Inquiry Follow-Up Automation for Small Businesses

Give every inquiry a next step.

Tier9AI can connect a supported form to an existing tracker so new requests have an owner and a next action. The demo illustrates a cleaning company preparing an unsent reply, holding missing details for review and avoiding duplicate tasks.

Every inquiry gets a next step.

A website inquiry lands in your inbox. Nobody is sure who should reply.

What you get

An assigned follow-up and a reply ready for review.

A local cleaning companyJamie · office coordinatorMonday, 9:12 AM · fictional workday

A new customer wants recurring office cleaning. Capture the request, assign the next step, and ask for the details needed to quote—without promising a price or a slot.

Weekly office cleaning — request for an estimate

From: Alex · Northstar Studio
alex@example.com

We’re looking for cleaning twice a week for our office. We have six rooms and a small kitchen. Ideally after 6 PM, starting next month.

Please let us know what information you need and whether you can arrange a site assessment.

The smallest useful build

One form submission → one assigned record in your existing tracker.

Reply drafts, service-area rules, multiple lead sources and a custom review screen are additional scope.

How we prove it works

  • Required contact details arrive intact
  • The same submission cannot create two records
  • A failed write is visible and can be retried safely

Measure: Time from a valid inquiry to an assigned owner; unassigned requests at the end of the day.

Is this worth fixing? Estimate the manual effort.

7.2 hours / month
Illustrative current effort, not promised savings. Uses 4.33 weeks/month. Review and exception handling will still take time.

Every project receives a written quote after compatibility and scope review. A single handoff between existing tools is a smaller starting point than a complete demo interface. Custom interfaces, AI and multi-step workflows must be explicitly included in the quote. Software fees are separate.

Before

Find the email → copy the details → ask who owns it → remember to reply.

With the workflow

Open your follow-up list. Review the draft. Know who is responsible.

Built around your tools

Your website form → existing inbox or tracker → assigned review task. Missing details are held for review; a failed connection can be retried without silently losing the request.

These examples are rule-based, not live AI. A real build needs agreed permissions, integration checks, failure handling and acceptance testing. We configure existing software where that solves the problem; we build only the missing pieces.

Build this around my tools ↗
Based on real operating patterns—not invented customer results

Jobber’s published Earth Love Cleaning story describes a real cleaning company using quote follow-ups. Jobber also supports quote approvals and change requests; HoneyBook documents onboarding triggers and tasks. These tools already solve parts of the problem. Tier9AI’s role is to configure what fits and build missing handoffs where needed.

These are independent references, not Tier9AI clients, endorsements or tested integrations. All businesses and records inside the interactive examples are fictional. Research reviewed September 25, 2026.

Fictional examples, not customer results or promises of revenue. No external connections or persistent storage. Refreshing resets the demos. Final scope depends on your tools and requirements.

Before you build.

Who is this for?

Small service businesses receiving requests through a website form or shared inbox.

Do I need new software?

If your CRM already captures and assigns requests, start by configuring that feature. A custom connection is useful when the request and the team’s working list live in different tools.

What does it cost?

A compatible one-trigger, one-action connection between two existing tools is a focused starting point, quoted after review. Reply generation, multiple sources and a custom interface are additional scope.

Your written quote defines deliverables, timing, revisions and payment milestones before you commit. Software fees and ongoing support are separate. A call is optional.

Is this connected to real accounts?

No. This is a rule-based, fictional simulation. No emails are sent, no files are uploaded and no customer tools are connected. Production work requires agreed access, testing and owner approval.
